Senior Executive Admin

 

IFundWomen seeks a diligent Senior Executive Admin (SAE) to manage the daily administrative tasks of the CEO, Karen Cahn, and the COO Carolyn Spencer (The C-Suite). The responsibilities of the SAE include planning meetings and events, organizing calendars, and acting as a liaison between The C-Suite, our team, and our external partners. To be successful as a senior executive assistant, you should have excellent organizational skills, be proactive, and possess a professional demeanor. Ultimately, as a top-notch senior executive assistant, you should be equipped with experience, be able to tackle any task given to you in a timely fashion and communicate effectively.

Responsibilities
  • Organizing and managing all internal team meetings, training sessions, and team events
  • Acting as a liaison between the C-Suite and external partners and internal stakeholders
  • Preparing management for meetings including research, note taking, and follow up
  • Managing travel arrangements
  • Managing phone calls and email
  • Distributing internal communications
  • Coordinating calendars
  • Scheduling appointments and events
  • Managing travel arrangements
  • Office management
Requirements
  • Must be able to work in person in Montclair, NJ office and sometimes in the NYC office, depending on where the C-Suite is located
  • High school diploma
  • 3 years of experience as an executive assistant
  • Solid knowledge of office management systems: Google Workspace (Docs, Sheets, Slides, Drive, etc),
  • Microsoft Office (Excel, PPT, Word), Slack
  • Experienced note taker including keeping stakeholders on track with action items and follow-ups
  • Strong written and verbal communication skills
  • A positive, can-do attitude and strong interpersonal skills
  • Top time-management and organizational skills
  • Excellent problem-solving skills in order to identify issues, evaluate options and execute solutions
  • Must be discrete and maintain confidentiality

  • Experience working at a financial institution or a tech company

Compensation
  • Salary range: $55k - $65k
  • Equity: 5,000 ISO Stock Options
